What is AgilityHealth?

AgilityHealth is a powerful measurement & continuous growth platform designed for companies that want to accelerate the growth and business agility of your organization.

The popular TeamHealth Retrospective is delivered as a facilitated assessment and retrospective session by a certified AgilityHealth Facilitator. The facilitator guides the team through analyzing their Team Health radar, having a meaningful conversation and developing an actionable growth plan for the next quarter.

Getting Started as an AgilityHealth Facilitator


Setting up a Team

  1. Login to Agility Health
  2. Select Add A Team
    When prompted to select what type of team you would like to create? Select Team, unless you’re doing a program team Retospective then select Multi-Team (Guide for multi-team below).
  3. Add a Team Wizard


Create Team Page

  1. Enter a team name (required).
  2. Work Type – most teams doing scrum or scrumban would fall under the category of ‘Software Delivery’. If you have a team that is doing Kanban – select ‘Service and Delivery’.
  3. Complete the remaining questions.
    If you’re not familiar with the team, we recommend that you have your business line admin or company admin add the scrum-master of the team so they’re able to complete the questions and add team members.
  4. Team Tags
    If available tag your team with the appropriate product line and program.


Add Team Members Page

  1. Enter the first name, last name and e-mail address of a team member.
  2. Assign a role, participant group and allocation of the individuals you want to take the survey. The survey should be taken by all core members of the cross-functional team. (Think those who come to stand-up everyday)
    • You also have the option to bulk upload team members! Download our team template using the  icon to add in the participant’s name and email address. You will be able to upload the document and add in their roles and participant groups.

 



Add Stakeholders Page

  • Stakeholders are managers, sponsors and anyone you’d like to give a vote of confidence for the team.
  • The only question this group receives is: ‘How confident are you as a stakeholder that the team can meet the current goals?”
  • The process of adding or uploading stakeholders is the same as adding team members!

Review & Finish Page

Review the information entered to ensure all team members and stakeholders are entered correctly.


Add Team Admin

The Team Admin role is designed to allow a user to edit their team, update the growth plan and monitor the teams results over time. The Team Admin role is normally assigned to the Scrum Master.

In order to add a Team Admin to a team, you would need to go to:

1. Settings

2. Manage Users

3. Select your Company

4. Select the Team Admin Tab (you can also view the other roles available by hovering over the blue & white question mark icons next to their names)

5. Select Add New

6. Fill out their information and then select which teams you would like them to have access to

7. Select Save and Close (in order to get a certification tag assigned to them, you would need to contact us utilizing the  and requesting the tag be placed on that user. The user would need to have been certified in one of our courses prior to the request)

 


Optional: If you’re a scrum team and would like to generate metrics for your team.

  1. Go to Team Dashboard – Click the Blue Edit Pencil on top of your team name.
  2. Select Metrics Tab -> Add New
  3. Enter: Iteration #, Target Points, Actual Points, Total Points, and Escaped Defects

Creating and Launching the Assessment

Now that you’ve setup your team, the next step is to create an assessment.

Enter in the Assessment Type, the Assessment Name, the Facilitator and the Facilitation Date.

Next, select the team members that will be participating in the assessment.

Then add the stakeholders who will be sent the survey prior to the facilitation date.


Launch the Assessment 

  1. Once the assessment is created, don’t launch (Publish) to everyone until the scheduled AgilityHealth retrospective session.
  2. It is recommended however that you send the assessment ahead of time to stakeholders
    • Do this by selecting ‘Send to Stakeholders’
    • Also recommended to send them a reminder e-mail to complete it prior to the scheduled session. See sample e-mail below:
  3. Once you’re with the team and ready to facilitate your first assessment, go ahead and launch (Publish) to Team Members.

Here are a few things to do following the retrospective:

AgilityHealth Facilitator (AHF) Process Summary:

When to Administer

  • New Teams
    • After 1 or 2 months. – establish a baseline
  • Active Teams
    • Quarterly cycle

Who Should Attend?

  • All team members are invited and preferably present (online or in person) for this session including the PO and Scrum Master of the team.
  • Stakeholders are usually sent the survey ahead of the actual retrospective meeting so the team can analyze their responses.
  • Stakeholders are typically: Managers, IT leaders, business leaders impacted by this project or anyone the team feels they want input/feedback from.

How Long Should the Meeting Be?

  • Plan for 2hrs min. to 3hrs Total
    • It should take the team about 45mins to complete the survey, do not rush the team through it and encourage team to include comments
    • Plan 30mins to Review survey and 30mins – 1hr to help the team come up with their quarterly Growth Plan

Planning For The Retrospective

  • Test should be done in person for the first time, ongoing team may take the test at desk but in person is better
  • Laptops are required for the session
  • For a new team, create the team and add the members
  • Create the assessment, confirm team members
  • Set date the assessment will close
  • Click Finish – email will be sent to team members with a link to the assessment

Conducting an Assessment

  • Survey works best with Chrome or Firefox
  • Emphasize that the assessment is not in any way tied to a performance review, it is completely anonymous and is for team growth only!
  • Ground rules for comments – request the team not use names or roles that call out people specifically, and to keep it professionally appropriate
  • AgilityHealth Facilitator (AHF) should monitor comments and evaluate top areas to focus and coach team on.
  • Best way to do this is to give team a 10mins break following completing the assessment prior to reviewing the results with team.
  • Provide Team Flash Cards to the team so they can reference to assist them in answering questions.

Review Results

  • Review should occur immediately after the survey is taken
  • Review Recommendations
    • Review radar summary without detail
    • Review radar with details
    • Zoom in to allow the team to focus on one section at a time
    • Look for trends
    • Help the Scrum Master, and team to build a growth plan – this is the deliverable of this meeting
  • Team must approve before sharing with Management any details
  • Organizational Growth Plan items should be shared with management team & Program team so they can help address them

    Multi-Team Health Retrospective Process

    When should the program team and managers review their results?

  • New teams being stood-up
    • With Coach during Management Retrospective
  • Active Teams
    • Quarterly cycle – Following a team assessment – their next retrospective should be the management retrospective to review with program and managers the organizational items.
  • Management Retrospective is setup by the Scrum Master Agenda
  • Review multi-team assessment.
    • Review Analytic Section (Scrum Master)
  • Pull Items into backlog based on feedback from team.
  • During Program Team Retrospective
    • The Program should review the multi-team assessment to see patterns across the teams.

How to setup a program team? 

  1. Login to your AgilityHealth Account – Click “Add A Team”
  2. Select Multi Team – For MultiTeam Type: Select Program Team from drop-down menu
  3. Setup your team Profile – Upload a fun photo for your program team
  4. Add Sub-Teams – There is a tab on the top by Team Profile – “Sub Teams” –
    • There will be a button to Add Sub-Teams – Click on it
    • Browse the list of [company] teams and add those that belong to your program – Press Update

Multi-Team (Program) Radar 

  1. What is it? 
    • The Multi-Team Health Radar gives the program team an overview of all the teams in the program radar, as well as a
      radar of the average.
    • When you scroll down you’ll also be given a radar analysis, that will indicate areas that are in green, yellow or red.
    • This is a great tool to use during Program Retrospective to indicate areas the program can help the teams with and add to the program backlog of process improvements

For example if cross multiple teams Measure of success is yellow, then the program team can take an action item to ensure there are clear measures of success for the teams within their program.

  •  Scroll down past the radar analysis to get the Organizational Growth Plan Items
    • Here you can add new items if you’re going to use the tool to track all your process improvement backlog
    • Pull items from Sub-Teams to see what are the teams are requesting the program help with
    • Combine items allows you to combine items from multiple teams if they are similar
    • Export to excel allows you to export to excel and import into a different tool

  • To filter down the views and see what color each team is please click the two <> green button on the left hand-side.
  • You can filter down by teams – Helpful to see how a particular team is doing compare to the average
  • You can filter down by Roles – Helpful to plot how my developers are feeling vs QA testers on a certain area or overall, etc.
  • You can filter down by participant groups –
  • You can set additional participant groups if you wanted to do extra filtering… (go to settings where your profile is on the top right side)
  • In the system exists leadership team (SM, SL, PO) vs technical team (everyone else)
  • Or you can also see Contractors or Business folks.
